Vocinity AI ("Vocinity," "we," "us," or "our") provides AI-powered voice and lead reactivation services for med spas. This Privacy Policy explains how we collect, use, and protect information when you visit vocinity-ai.com (the "Site"), request a demo call, or otherwise interact with us.
1. Information We Collect
Information you provide directly. When you request a demo call through the widget on our Site, schedule a meeting, or contact us, we may collect:
- Your name
- Your phone number
- Your email address
- Your business name and any details you share with us during a call or conversation
Information collected automatically. Like most websites, we and our service providers may automatically collect standard technical data such as IP address, browser type, device information, and pages visited. Our Site uses Google reCAPTCHA to protect forms from abuse, which collects hardware and software information and sends it to Google for analysis.
2. AI Voice Calls, Recording & Transcription
When you request a demo callback through our Site, you will receive a phone call from an AI voice agent. By submitting your phone number and requesting the call, you expressly consent to receive that call, including a call placed using an automated or AI-driven system.
Calls with our AI agent may be recorded and transcribed for quality assurance, training, and service improvement. Call audio, transcripts, and related metadata are processed through our voice infrastructure provider, Retell AI. If you do not wish to be recorded, you may end the call at any time.
3. How We Use Your Information
- To place the demo call you requested and respond to your inquiries
- To provide, operate, and improve our services
- To communicate with you about our services, scheduling, and follow-ups
- To analyze and improve the performance of our AI voice agents
- To comply with legal obligations and enforce our agreements
We do not sell your personal information.
4. Third-Party Service Providers
We share information only with service providers that help us operate our business, and only as needed for them to perform their functions. These include:
- Retell AI — voice call infrastructure, call recording, and transcription
- Google reCAPTCHA — form spam and abuse protection (subject to the Google Privacy Policy and Terms of Service)
- HubSpot — contact management and meeting scheduling
- Cloudflare — website hosting and security
Each provider is bound by its own privacy practices and, where applicable, contractual obligations to protect your data.
5. Text Messages & Phone Communications
If you provide your phone number, we may contact you by phone or text message regarding your inquiry or our services. Message and data rates may apply. You can opt out of text messages at any time by replying STOP, and you may ask us to stop calling you at any time by telling the agent on a call or emailing us at the address below.
6. Cookies
Our Site is a static marketing site and does not use advertising or cross-site tracking cookies. Embedded third-party services (such as Google reCAPTCHA) may set their own cookies as required for security and functionality.
7. Data Retention
We retain personal information, including call recordings and transcripts, only as long as reasonably necessary for the purposes described in this policy — typically the duration of our business relationship plus a reasonable period afterward — or as required by law. You may request earlier deletion at any time (see Section 8).
8. Your Rights & Choices
Depending on where you live, you may have the right to:
- Request access to the personal information we hold about you
- Request correction or deletion of your personal information, including call recordings
- Opt out of further calls or messages from us

9. Data Security
We use commercially reasonable technical and organizational measures to protect your information, including encrypted transmission (HTTPS) and access controls with our service providers. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
10. Children's Privacy
Our Site and services are intended for business owners and are not directed to anyone under 18. We do not knowingly collect personal information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. Your continued use of the Site after changes are posted constitutes acceptance of the updated policy.
